Working with Document Lines
Quotes, sales orders, purchase orders, invoices and credits all share the same line editor. Once you know it on one document, you know it everywhere.
Adding a line
Click Add a Line at the bottom of the lines table. Start typing in the item field to search your products; matching products appear as you type, and selecting one fills in the description, price, unit of measure and tax settings from the product. You can also type free text for a one-off line that isn’t linked to a product.
Line fields
Each line has:
- Quantity: how many, in the line’s unit of measure. Products can sell in alternative units (for example a box of 12); the unit’s factor is applied automatically.
- Unit Price: the price per unit. On sales documents Fast2Task also shows the margin so you can see profitability as you type.
- Tax Type: the tax treatment for this line. Defaults from the product or the document’s tax setting; individual lines can be tax exempt.
- Ledger Account: where this line posts in your accounts. Defaults from the product; override it when needed.
- Amount: the calculated line total.
The line menu
The menu at the end of each line offers extras that stay hidden until you need them:
- Add Note: free-text notes printed under the line
- Add Discount: a discount on the line
- Add Supply Date: when this line will be supplied
- Add Job Reference: tag the line with a job or project reference
- Set Unit Sell Price / Set Unit Cost: update the product’s stored price from this line
- Create Product: turn a free-text line into a product
Stock and non-stock lines
Lines linked to a stock-tracked product participate in fulfillment, shipping and receipting, so Fast2Task tracks the physical goods. Lines for services, fees or other non-stock items are treated as non-stock: they appear on the document and invoice normally but don’t affect stock levels.
Totals and tax
The document footer shows the Subtotal, Tax Amount and Total, recalculated automatically from the lines. A document can be set as tax inclusive, in which case entered prices include tax and Fast2Task works the tax component out for you. The document’s tax type sets the default for new lines.
